Onboarding workers

This flow focuses on adding employees and getting them into the worker app: form, invite, first login, and password change. It also covers Free plan limits and when to upgrade.

Add employee (form + invite)

Go to Employees and click Add employee. Fill in:

  • Full name
  • Email (used for login and invite)
  • Role: Worker or Manager
  • Optional: employee number, phone, contract end date
  • Locations: assign which locations they can work at

Submit. Choose to send the invite by email (worker gets a link) or copy the invite link and share it manually. The link signs them in and, on first use, prompts them to set a password. If the email is already in use in another organization, you'll see an error; use a different email or the invite link for existing users.

Worker onboarding (email, first login, change password)

Worker: Receive the invite email and click the link (or open the link the admin sent). You're signed in. If your account was created with a temporary or no password, you're redirected to the Change password page. Set a new password and save. After that, you're taken to the worker app (Home, Shifts, Check-in, PTO, Timesheet, Profile). You won't see the owner dashboard.

Single-session note (workers only)

For workers (not managers), Synqo may enforce a single active session. If the worker logs in on another device or browser, the previous session can be invalidated and they may be logged out. Managers can use multiple devices. See Worker app overview.

How many workers on the Free plan

The Free plan allows up to 3 workers and 1 location. "Workers" includes both worker and manager roles (any non-owner employee). When you try to add a fourth employee, the app will block you and show that you've reached the limit. Suspended workers still count toward the limit on Free.

When to upgrade

Upgrade when you need more than 3 workers or more than 1 location. Go to Settings → Billing, choose the Pro plan (unlimited workers and locations, billed per worker per month, e.g. €2.50/worker), and complete checkout via LemonSqueezy.
